Granola vs Fathom: which is better for automatic CRM updates after sales calls?

Fathom, if you’re on its Business plan. Fathom Business syncs CRM fields such as deal stage, amount and next step to Salesforce or HubSpot. It costs $25 per user per month billed annually, with a two-seat minimum. Fathom’s lower plans include a basic CRM sync for up to 3 users per email domain.

Granola pushes meeting notes to HubSpot, Attio or Affinity on its $14 Business plan. Salesforce works only through Zapier. If your team runs on HubSpot and wants the notes on the record, Granola covers it. If you run on Salesforce or need deal fields updated, Fathom Business is the stronger pick.

For sales teams that want the CRM updated from every call, email and Slack thread on a deal, AnyTeam is a third option. It writes any field in Salesforce or HubSpot and drafts the follow-up, and the rep approves anything a customer sees.

How each one updates your CRM, plan by plan

“CRM integration” shows up as a checkmark on every comparison page. What actually lands on the deal record depends on the plan you buy.

Plan What reaches your CRM Salesforce HubSpot Price (per user per month)
Granola Basic Nothing. CRM integrations start on Business No No Free
Granola Business Meeting notes, matched to the contact and deal Through Zapier Native $14
Granola Enterprise Same as Business, plus SSO and admin controls Through Zapier Native $35
Fathom Free, Premium, Team Basic sync of meeting summaries, for up to 3 users per email domain Native (basic) Native (basic) $0, $16, $15
Fathom Business Field-level sync: deal stage, amount and next step mapped to your fields Native Native $25, two-seat minimum
AnyTeam Any field, plus owner tasks, with approval set per agent Native Native Not published

What to check in a trial: open the deal record the morning after a real call. Did a field change, or did a note get added? A note means someone still updates the stage, the amount and the next step by hand.

Bot vs bot-free: closer than it used to be

Granola built its name on taking notes without a bot joining the call. It listens to your computer’s audio, so the other side never sees a notetaker in the attendee list. For sales calls where a bot would feel awkward, that mattered.

In 2026, Fathom added a bot-free mode too. On a Mac, you can now choose per call between bot-free capture and a bot that records full video. Windows support for Fathom’s bot-free mode is listed as coming soon. So the bot question no longer decides this comparison. It comes down to two smaller questions:

  • Do you want a recording? Fathom can keep audio or video, which helps managers review a moment on a call. Granola keeps the transcript and your notes.
  • Are you on Windows? Granola’s bot-free capture works on Windows today.

Recording rules vary by state and country, and some U.S. states require every participant’s consent. Check with your counsel before rolling out any tool that captures calls.

Notes for one person vs a system for the team

This is the biggest difference in how the two products feel.

Granola is a personal notepad. You type rough notes during the call, and Granola fills them out with what was said. The notes sound like you, which is why people who take their own notes tend to love it. Teams can share folders and ask questions across meetings, but the product is built around one person’s notes.

Fathom is built for the team. It takes the notes so you don’t have to. Ask Fathom lets anyone search what was said across every call the team captured. On Business, managers get coaching scorecards and a deal view that summarizes calls on each deal.

For a solo seller or a founder, Granola’s approach is a real advantage. For a sales team with a manager, Fathom’s team features are the reason to pay more.

Which is better for Salesforce-based sales teams?

Fathom Business. It writes to Salesforce fields natively. Granola reaches Salesforce only through Zapier, which means building and maintaining the field mapping yourself, plus a Zapier subscription.

If your team is on HubSpot, the gap is smaller. Granola’s native HubSpot integration puts notes on the right contact and deal. Fathom Business still goes further by updating deal fields.

Which is better for follow-up emails and action items?

Both pull action items out of the call. The difference is what happens next.

  • Fathom lists action items with the owner attached and can draft a follow-up email from the call with one click.
  • Granola includes action items in your notes, and its Business plan can run post-call automations that draft follow-ups or post summaries to Slack.

In both cases, the rep still sends the email, chases the document and updates the deal. For a rep with 30 open deals, that’s where follow-through slips.

Which keeps account context across multiple meetings?

Both let you ask questions across past meetings. Granola’s chat works within and across meetings. Ask Fathom searches every call the team has captured, which makes it the better choice when a deal changes hands or a manager needs the history.

Both build their answers from meetings they captured. What was promised in an email thread or decided in a Slack channel isn’t part of what they read.

Which is better for a sales team of 30 or more reps?

Fathom. Team search, coaching scorecards and CRM field sync are the features a sales organization needs at that size, and Granola doesn’t offer coaching. Granola Enterprise adds SSO and admin controls, but the product is still built around each person’s notes.

What a 10-rep sales team pays per year

List prices, billed annually, for 10 seats:

Setup Yearly cost What you get in the CRM
Granola Business $1,680 Notes pushed to HubSpot, Attio or Affinity
Granola Business plus Zapier $1,680 plus a Zapier plan Notes sent to Salesforce through your own Zap
Fathom Team $1,800 Basic sync, capped at 3 users per email domain
Fathom Business $3,000 Field-level sync to Salesforce or HubSpot, coaching, deal view

The jump from Fathom Team to Business is the price of having deal fields updated automatically. For a 10-rep team, that’s $1,200 a year, or about $10 per rep per month.

What reviewers say on G2

Fathom has a 5.0 rating from more than 7,000 reviews. Reviewers praise its note accuracy and easy setup most often. The most common complaints are meeting summary accuracy and free-plan limits (329 mentions), recording issues (258), calls attributed to the wrong account or meeting (171) and the notetaker not joining some meetings (161).

Granola has a 4.7 rating from about 35 reviews, so there’s far less to go on. Reviewers like the clean interface and the way it blends their own notes with AI. The complaints that come up are speaker recognition and occasional transcript mistakes.

Both tools draw the same core complaint: accuracy. Neither is perfect at turning a messy call into a clean record, which is one more reason to check the deal record after a trial call.

Security and admin

  • Fathom says it is SOC 2 Type II compliant and offers HIPAA-compliant security.
  • Granola puts enterprise security, admin controls and single sign-on on its $35 Enterprise plan.
  • AnyTeam is SOC 2 Type II and ISO/IEC 27001 certified, never uses your data to train models, and logs every action to a tamper-evident audit trail.

A third option: AnyTeam

Granola writes great notes for one person. Fathom adds team search, and on its Business plan, coaching and CRM field sync. Both stop at the same place: they tell you what happened in a meeting, and someone still has to act on it. In a busy week, those action items get lost. That’s where AnyTeam comes in. It works from one shared memory of every call, email, CRM update and Slack message on the deal, and its agents do the work that comes out of each call. The rep approves anything a customer sees.

Here’s what you get:

  • CRM updates: writes any field in Salesforce or HubSpot, with the same coverage in both
  • Action items that get done: the recap email is drafted when the call ends, owner tasks are added, open items are posted to the deal’s Slack channel, and each rep’s to-dos are ranked at 7 AM
  • Deal-level context: follow-ups and briefs draw on every call, email and Slack thread on the account, not just one meeting
  • For managers: every call is scored against MEDDPICC and compared with deals your team won, with the questions to ask on the next call
  • For CROs: see open promises and deal risks (a quiet champion, a named competitor, a slipped close date) before the forecast call, without asking a rep
  • Control: each agent is set to “approval required” or “auto-run,” and every action is logged in a tamper-evident audit trail
  • Price: not published. If the lowest price per seat matters most, Granola’s Business plan starts at $14 per user per month.

Meeting Pilot, AnyTeam’s meeting assistant, sits in on Zoom and Google Meet calls.

Granola, Fathom or AnyTeam: how to choose

Choose Granola if: - You take your own notes and want AI to fill them out - You want bot-free capture on Windows today - Your team runs on HubSpot, Attio or Affinity and wants notes on the record - Price per seat is the deciding factor

Choose Fathom if: - You want the notes taken for you, with an optional recording - You run on Salesforce and want deal fields updated (Business plan) - Managers want team search and coaching scorecards - You want a free plan with unlimited recordings

Choose AnyTeam if: - You want the CRM updated from every call, email and Slack thread on the deal, not one meeting - Action items keep slipping and you want them drafted, assigned and tracked - Managers and CROs need deal status without asking reps

Test it on one real call before you buy

Feature tables only tell you so much. Run each tool on one real call from an open deal, then check four things the next morning:

  1. The deal record: did a field change, or did a note get added?
  2. The follow-up: was a draft ready, and did it mention anything from an earlier call or email?
  3. Next steps: does every next step have an owner and a date?
  4. The manager view: can a manager see where the deal stands without asking the rep?

The tool that passes all four saves your team the work that comes after the call.
